Before you pay
Request the cancellation deadline, time zone, refund method, and any non-refundable items in writing. Ask whether guide time, vehicle time, tickets, and restaurant deposits follow different rules.
Keep the confirmation and receipt together. If you cancel, use the provider’s specified channel and ask for a written acknowledgment. Sending a message is not proof that the cancellation was processed.
If your flight or train is delayed
Agree how the provider monitors changes, how you should notify them, and when waiting charges begin. Ask what happens if there is not enough time left for the original route.
For a layover, clarify whether the outing can be shortened or canceled and which charges remain. A sightseeing plan cannot guarantee entry or protect a connection from every delay.
If weather, closures, or energy change the day
Ask for a realistic substitute for the main experience. Know whether the substitute changes the price and which prepaid items cannot be refunded.
For families or travelers who need more rest, agree how to shorten the outing. Extra flexibility should be discussed before the day rather than assumed after services have started.
If the provider changes the arrangement
Ask what happens if the named guide, vehicle, or venue becomes unavailable. You should be told about a material substitution and any option to decline it under your agreement.
